Job Definition: Under general supervision, performs secretarial and bookkeeping tasks by performing the following duties.
Job Grade: 40
Description: Answers incoming calls, takes inspection requests and answers questions pertaining to inspections and building permits. Types, compiles and distributes correspondence, reports, permits and reconciles reports. Issues certificate of occupancy, purchase orders and requisitions. Prepares weekly time sheets and other forms. Maintains bookkeeping records such as allocated funds, posting expenditures, receipts and reconciles accounts. Audits invoices, expense vouchers and other claims for completeness and verifies accuracy. Maintains and prepares payroll records and makes changes as required. Makes purchase order adjustments. Reconciles accounts and makes deposits. Maintains department inventory records, office supplies, office files and inspector's daily route monthly reports. Records and files plats. Greets and receives visitors and contractors. Maintains and compiles suspense files on bonds and licenses of house movers and sign contractors. Maintains files for general contractors insurance and liability forms. Prepares monthly reports of inspections department. Prepares U.S. Census reports when requested. Performs other duties as assigned.
Required Skills: Skill in keyboarding at 40 WPM (skills test required); in 10-key by touch; and in computer software skills including Microsoft Office software programs. Knowledge of the principles of bookkeeping practices; of accounting; and of office policies and procedures. Ability to organize and present bookkeeping information in prescribed form; to make mathematical calculations with speed and accuracy; to perceive clerical errors; to understand County policies and departmental procedures; to inform the public of laws and resolutions of inspections matters; to exercise initiative and independent judgement; to understand and follow oral and written instructions; and to deal tactfully with others.
Education / Experience: High school diploma or general education degree (GED); plus three years full-time paid employment in a clerical and bookkeeping position; course work in addition to a high school diploma or GED in bookkeeping may be substituted for the years of experience.

Salary Range: $2,130.60 per month
Work Schedule: 8:00 A.M. to 5:00 P.M. Monday thru Friday
